1. Booking Confirmation

To reserve Accommodation directly with CraftFlat, we require 100% of the advised deposit due (“the Deposit”) when staying monthly and longer or full payment when staying less than a month. This Deposit secures you the Accommodation at the time of booking for the length of time required.
The Deposit is not refundable under any circumstances prior to the check-in.
The balance due for the Accommodation must be paid no later than fourteen (14) days prior to your arrival unless otherwise agreed in writing.
For bookings made within 14 days of arrival, full payment, by cleared funds, is required at the time of booking.
If booking by telephone, once CraftFlat has confirmed acceptance of your payment details; or if booking via our website or email and the requested apartment is available, once you receive a confirmation by email of your booking.
Should payment not reach CraftFlat within the required time stated, CraftFlat reserves the right to cancel any booking made and any deposit paid will be forfeited.
Failure to pay in accordance with the agreed terms of payment may result in the suspension of Accommodation. CraftFlat reserves the right to charge interest on overdue accounts.
Reservations made via the listed OTA shall follow the rules of the OTA site.  

1.2 Registration
All Guests shall register via the Registration form prior to check-in to the apartment. 

2. Method of Payment
CraftFlat accepts the following payment methods:-
• Secure international money transfer provider Wise or other money transfer apps.
• Bank Transfer: Bank details will be advised directly and the transaction should be in Japanese yen.
The Guest bears all transaction fees.

3. Booking Extensions
At least 14 days’ notice of intention to extend your stay is required. Failure to do so may result in your apartment being re-let. While every effort will be made to accommodate you, extensions of current reservations are subject to availability and rate change.
Where notice of intention to extend your stay has been given, the payment has been made by bank transfer, an invoice for the requested extended period will be sent via the email address provided at the time of booking and payment must be made by return.

4. Accommodation
Accommodation and location are confirmed in advance, you will only have the right to occupy the Accommodation for the time specified. You are only granted a license to occupy the Accommodation and this agreement gives you no other rights either express or implied to the Accommodation. In case the exact apartment cannot be guaranteed prior to arrival, we can therefore allocate a similar apartment if for whatever reason the accommodation you have booked is not available on the day of arrival.

5. Occupancy
The number of people permitted to occupy each apartment is limited to the number of beds. In some apartments, extra sleeping accommodation can be arranged. If the number of people permitted to occupy an apartment is exceeded, CraftFlat reserves the right to charge for additional guests, or additional guests will have to vacate the apartment immediately.

6. Duty of Care/Responsibility
It is the responsibility of the Guest to ensure they are respectful to other tenants living within the building in which they are staying. Guests must also ensure noise levels are restricted. Reports of excess noise from other tenants to the Agent will mean automatic immediate termination of the tenancy.
In addition, Guests have a responsibility and duty of care to ensure damage is not deliberately inflicted on the property or its contents.
Smoking is prohibited and any evidence of this in the apartment will incur penalties. Such damages will be charged to the Guest. Receipts for remedial works will be provided to the Guest in such instances where possible.

7. Arrivals and Departures
Guests can check in to their apartment from 4 pm on the day of arrival unless agreed otherwise. On arrival, you will be asked to check the Accommodation, Agreement and accept your stay.
The check-out varies based on the booking length and property, please check the details in advance. Please note you will be charged  ¥10,000 minimum per hour plus tax for every hour or part of the hour that you delay housekeeping on your departure. Key collection details will be provided prior to the check-out date. 

8. Booking Alterations
If you wish to alter your booking, CraftFlat will make every effort to meet your requirements. All alterations must be confirmed in writing. The notice period required is a minimum of 14 days for all reservations. Any refund of costs is made subject to the apartment being re-let. You will, however, be obliged to pay any additional expenses incurred as a result of the alteration. In addition, CraftFlat may charge, at its discretion, an amendment fee of  ¥10,000 minimum per hour plus tax to cover the necessary administrative costs incurred.

9. Cancellations
All cancellations must be confirmed in writing. The notice period required is a minimum of 14 days for all reservations. Any possible refund of charges is made subject to the apartment being re-let. Depending on the reasons for your cancellation, you may be able to reclaim cancellation charges from your insurance company if you have taken out travel insurance. 

10. Refunds
Please note that all refunds will be made via bank transfer. 
No other form of refund will be provided. Refunds will usually take between 2 to 4 weeks to reach your bank (excluding Bank Holidays and weekends). Refunds will only be made once all keys have been returned to us.
REFUND POLICY

11.   Early Departures
In the event that a guest needs to check out prior to the agreed departure date, CraftFlat will make every effort to obtain a refund of accommodation charges for the remainder of the stay. 

12. Inventory / Property Care
As the security deposit is required prior to the check-in to the Accommodations to cover breakages and damages in the apartment. CraftFlat reserves the right to deduct from that amount all amounts chargeable in accordance with the section ‘Additional Charges’. In the event that is not enough, CraftFlat reserves the right to charge the company or individual who made the booking at the address provided.

13. Additional Charges
Internet: 
Internet (either LAN and/or portable WIFI) is available as a free service in all apartment locations.
Passcodes will be provided at check-in.

However, CraftFlat will not be responsible for any fault associated with the user’s hardware or software, no support will be available, and CraftFlat will not provide compensation for its failure to work. 
Data SIM cards can be easily purchased as an alternative, but it will be the guest’s responsibility to buy them.
Our assistance in respect of any problems will be limited to our contacting the service provider and only during office hours i.e. between 9.30 a.m. to 6 p.m. and will not be considered an emergency.
Additional Chargeable Services: Provided at the individual apartment location. Details of additional services are available on request. The cost of any such services might be payable directly to the service provider.

14. Cleaning: 
CraftFlat expects the apartments to be left in a reasonable state on departure. If at CraftFlat ’s discretion, additional cleaning is required on departure including an unreasonable amount of trash left behind, the cost of this cleaning and disposal will be an additional charge. 

15. Smoking: 
Smoking is prohibited in all apartments and communal areas. Anyone found to be smoking or evidence of smoking in the apartments or communal areas will incur an equal to the ¥50,000 charge by way of Liability to cover the additional costs of cleaning, freshening, and airing the Apartment over a 24-hour period. Any damages caused will be charged in addition to this fee.

16. Excessive use of utilities such as Water, Gas, and Electricity:

Please note where it is deemed that the use of utilities has been abused, an additional charge will be made. 

17. Damages: 
A refundable damage deposit is due before arrival. This will be refunded following our housekeeping report after the checkout. Damages to the apartment must be paid in full by the Guest. In the event of any breakages, damage, or extra cleaning required after the guest vacates, CraftFlat will notify the booker and or/guest, providing a detailed breakdown of the issues and the cost of rectifying them. Photographic evidence will also be supplied to the Guest, where possible.

17. Keys: 
CraftFlat will issue the guest with one set of keys. Additional sets can be supplied subject to availability and the request must be made in advance of arrival.
However, if the issued keys are not returned on departure we reserve the right to charge the Guest or booker for the replacement of keys or changing the locks. The cost of replacement keys will be a minimum equal of ¥10,000 plus tax.
The cost for replacing the locks will be no less than equal to ¥35,000 plus tax whichever CraftFlat deems the quickest way of gaining access to the apartment. In such an event, CraftFlat also reserves the right to charge the guest for further nights’ stay should it be the case that we are unable to gain access to the apartment and re-let it.

If between the hours of 10 pm and 8 am a guest locks themselves out of the property and requires assistance to re-enter, CraftFlat reserves the right to charge equal to ¥15,000 plus tax minimum as a call-out charge in addition to the charge for lost keys (as above).

18. Call Outs: 
If the emergency call-out number is used to call out CraftFlat staff between the hours of 10 pm and 8 am for any purpose other than an emergency, CraftFlat reserves the right to charge the booker or Guest a call-out fee equal to ¥15,000 plus tax.

19. Lost Property
Any items left in the apartment will be kept for 2weeks after the departure date. After that date, CraftFlat reserves the right to dispose of the property as it sees fit.

20. Rates
All rates quoted are based on the rates prevailing at the time that a booking is confirmed. Once a booking has been confirmed CraftFlat will not change the rate quoted unless you change the booking. Tax is charged at the rate in force at the time of invoicing. Rates are subject to change without notice and may vary for currency exchange movements where applicable between Japan and overseas locations.

21. Access to properties 
In addition to the housekeeping service, CraftFlat on occasion may need to access the property in which you are staying. CraftFlat reserves the right to gain access to all properties at all times. We will wherever possible, endeavor to give guests as much notice as possible prior to entering the apartment.

22. Pets
Pets are not allowed in any of the CraftFlat apartments.

23. Complaints
CraftFlat makes every effort to ensure their guests have an enjoyable stay. In the event that you are not entirely satisfied with the service offered, you should notify CraftFlat as soon as possible. In the first instance please notify your guest coordinator. 

24. Services
CraftFlat cannot be held responsible for any failure or interruption of services to the apartment, including electricity and water, or any damage, disruption, or noise caused as a result of repair works being carried out in another part of the property or development. CraftFlat will make every effort to solve the problem and fix the issue ASAP.

25. Restrictions
There are a number of restrictions at certain apartments. Full details are available on request. Should guests be in breach of these terms and conditions, CraftFlat reserves the right to request that guests vacate the apartment within 24 hours.

26. Conduct and Right to Evict
Any inappropriate behavior including causing any sort of nuisance and disruption to other guests or residents of the building will not be tolerated. The guest and their party are responsible for respecting neighbors by keeping the noise to a reasonable level before 11.00 pm and refraining from making noise after that. Guests are not permitted to use the apartments for any illegal or immoral purposes. When CraftFlat receives complaints regarding excessive noise or unacceptable behavior from the Guest’s party or where a previous request to comply with rules and regulations is ignored, CraftFlat reserves the right to ask you and your party to leave the apartment immediately.

In the event that the Guest and their party refuse to vacate the property, having been asked by a CraftFlat employee, the police will be asked to attend. The Guest will not be entitled to a refund for the remaining number of nights and additional charges may apply in cases like noise complaints from the residents, or disorderly or immoral behavior.

We reserve the right to decline any bookings where we have the reason to believe that the Guest will not use the apartment responsibly or will intend to use our premises for subleasing to generate income.

27. Refusal of Accommodation 
Contracts CraftFlat  may not accept the conclusion of an Accommodation Contract under any of the following cases:
(1) When the application for accommodation does not conform with the provisions of these Terms and Conditions;
(2) When no apartments are available;
(3) When the Guest seeking accommodation is deemed liable to conduct himself in a manner that will contravene the laws or act against the public order or good morals in regard to his accommodation;
(4) When the Guest seeking accommodation is considered to correspond to the following (a) to (c) ;
(a) The law in respect to prevention, etc. against illegal actions by gang members in Japan (1991 Law item77) stipulated article 2 item 2 (hereinafter referred to as “gang group”) , gang member stipulated by the same law article 2 item 6 (hereinafter referred to as “gang member”) , gang group semi-regular members or gang member- related persons or other antisocial forces.;
(b) When gang group or gang members are associates of corporations or other bodies intending to control business activities.;
(c) When a corporate body is related to gang members.;
(5) When the Guest seeking accommodation can be clearly detected as carrying an infectious disease;
(6) When seeking accommodation, demonstrates violent activity or makes demands beyond reasonable purview;
(7) When the CraftFlat  is unable to provide accommodation due to natural calamities, disfunction of the facilities, and/or other unavoidable causes;
(8) When the Guest seeking accommodation acts in an inebriated fashion likely to disturb other Guests, or when a Guest seeking accommodation is verbally abusive or disruptive in a fashion likely to disturb other Guests.

28. Right to Cancel Accommodation Contracts by the Guest
1. The Guest is entitled to cancel the Accommodation Contract by notifying CraftFlat.
2. In the event that a guest terminates an Accommodation Agreement in whole or in part due to any reason attributable to the guest (excluding the case where the CraftFlat has requested payment of an accommodation deposit and designated the payment date thereof as set forth in Article 1, and the guest terminates the Accommodation Agreement prior to such designated payment date), the accommodation is entitled to receive a cancellation charge from the guest as specified in REFUND, however, that if the accommodation has agreed on a special provision that an accommodation deposit payment is not required as set forth in Article 1, the CraftFlat shall, upon agreement of such provision, notify the guest of its obligation to pay a cancellation charge in the event of termination of the Accommodation Agreement by the guest.
3. In the case where the Guest does not appear by 10 p.m. on the accommodation date (or 24 hours after the expected time of arrival if the CraftFlat has been notified of it) without advance notice, the CraftFlat may regard the Accommodation Contract as being canceled by the Guest.
